CompareEngineering.com is operated by CompareEngineering.com Ltd, registered in England and Wales (Company No. 17117072), with its registered address at 66 Paul St, London, EC2A 4NA. We are the data controller for personal data processed through this platform.

CompareEngineering.com Ltd has not appointed a formal Data Protection Officer as this is not required for a company of our size and nature of processing. All data protection enquiries are handled by the data protection lead contactable at the email above.
2. What Data We Collect
- Account data: name, email address, phone number, company name, role, account type
- Site data: site name, address, postcode
- Asset data: asset types, quantities, inspection disciplines, uploaded schedules (CSV/PDF)
- RFQ and quote data: RFQ submissions, provider quotes, quote references, provider selections, contract awards
- Provider data: company details, accreditation status, disciplines, coverage areas, pricing submissions, lead fee records
- Broker data: company details, commission rates, client lists, dual-output quote records
- Usage data: login timestamps, pages visited, actions taken, IP address
- Communication data: emails sent through the Platform, support enquiries
3. Lawful Basis for Processing
- Contract: To provide the RFQ marketplace and quoting service you have requested, including account management, RFQ routing, quote delivery, and contract award processing
- Legitimate interest: To improve the Platform, analyse market pricing trends, communicate service updates, prevent fraud and enforce our terms
- Consent: For marketing communications (where applicable) — you may withdraw consent at any time
- Legal obligation: To comply with tax, accounting, and regulatory requirements
4. How We Use Your Data
For all users:
- To manage your account and authentication
- To communicate about your RFQs, quotes and account
- To improve the Platform and our services
For customers and brokers:
- To process and route your RFQ submissions to matched providers
- To deliver provider quotes for comparison
- To record contract awards and facilitate onboarding
For providers:
- To deliver RFQ invitations and manage your quote submissions
- To process lead fees and success commissions
- To display your accreditation status, disciplines and coverage to prospective customers
For AI-assisted schedule parsing:
- When you upload a CSV or PDF asset schedule, the document content may be processed by a third-party AI service (Anthropic) to extract and map your asset data to our taxonomy. This processing is performed solely for the purpose of populating your RFQ and the extracted data is not retained by the AI service beyond the processing request.
5. Data Sharing
When you submit an RFQ, we share relevant asset, site and requirement details with the matched inspection providers invited to quote. When a contract is awarded, we share your contact details with the selected provider to facilitate the inspection engagement.
We do not sell your personal data to third parties.
6. Sub-Processors
We use the following third-party services to operate the Platform. Each processes data only for the stated purpose and subject to appropriate contractual safeguards:

7. International Data Transfers
Some of our sub-processors may process data outside the United Kingdom. Where personal data is transferred outside the UK, we ensure appropriate safeguards are in place, including:
- Transfers to countries with UK adequacy decisions
- Standard Contractual Clauses (SCCs) approved by the ICO
- The International Data Transfer Agreement (IDTA) where applicable

8. Data Retention
We retain account and quote data for as long as your account is active, plus 6 years for legal and regulatory compliance (including tax and accounting obligations). You may request deletion of your account at any time, subject to our legal retention obligations.
9. Your Rights (UK GDPR)
Under the UK GDPR, you have the right to:
- Access your personal data
- Rectify inaccurate data
- Request erasure ("right to be forgotten")
- Restrict processing
- Data portability
- Object to processing
- Withdraw consent (where processing is based on consent)
To exercise your rights, contact dpo@compareengineering.com. We will respond within one calendar month in accordance with UK GDPR Article 12(3). In complex cases, we may extend this by a further two months, in which case we will inform you within the initial period.
If you are not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
10. Security
We use industry-standard security measures including encryption in transit (TLS), encryption at rest, role-based access control, and row-level security policies on our database. Pricing data is processed server-side only and is never exposed to client browsers.

12. Changes
We may update this policy from time to time. Where changes are material, we will notify you by email or through the Platform. Previous versions are available on request.
